Whitetail Hill App Privacy Policy

The Whitetail Hill mobile app is operated by WHC Farms LLC, doing business as Whitetail Hill ("Whitetail Hill," "we," "us"). This policy explains what information the app collects, how we use it, and the choices you have. Short version: we collect what the app needs to work, we don't sell it, and you can delete all of it yourself at any time.

What we collect

Account information. Your email address and password (passwords are stored in hashed form by our infrastructure provider; we never see them), used to sign you in and connect your soil tests and orders to your account.

Property and plot information you create. Plot boundaries and acreage, map pins, lines, and areas you draw, names and colors you assign, notes you write, the planting records you keep (what you planted, when, and how much), guide answers and saved plans, and soil test numbers you enter. This is the heart of the app — it exists so your information is there when you come back.

Photos you add to a plot. If you add photos to a plot, we store them so they are there next time you open it. They are kept in private storage, not on the open internet. They are visible to you, to our support staff (see below), and to anyone you choose to share that plot with — who receives their own copy, as explained under sharing. Deleting a photo in the app removes it from your account, and deleting your account removes all of them.

Places you search for. When you search the map for an address or town, the text you type is handed to your phone's own maps service to turn into coordinates. We don't keep a history of your searches.

Location. With your permission, the app uses your device's location to center the map, measure plots by walking their edge, position the sun path in Sun Check, and fetch wind forecasts near points you choose. Location is used while you're using the app only. We do not track your location in the background, and we do not maintain a history of your movements.

Camera and motion sensors. Sun Check uses your camera and your phone's motion sensors to draw the sun's path over your actual view. The camera image stays on your screen — nothing is recorded, saved, or sent anywhere. Motion sensor readings never leave your phone.

Crash reports. If the app crashes, we receive a technical report (device model, iOS version, and what the code was doing) so we can fix the problem. Crash reports don't include your plots, soil numbers, or location.

Purchases. When you buy seed or trees, checkout happens on our Shopify stores (whitetailhill.com and whitetailhillchestnuts.com) under their systems. The app itself never sees or stores your payment details.

When you contact us. Texting, calling, or emailing from the Team tab happens through your phone's own apps under your carrier's or provider's terms; we receive whatever you choose to send us.

What we don't collect. No advertising identifiers, no contact lists, no access to your photo library beyond the specific photos you pick, no background location, no analytics profiles for sale.

How we use it

To run the app's features; to connect your soil tests and orders to your account; to answer you when you contact us; and to improve the app. That's it.

When you share with someone

Sharing in the app sends someone a copy. Nothing is shared until you type a person's email address and tap Share, and nothing lands on their map until they accept it.

When they accept, the things you shared are duplicated into their account: plot boundaries and acreage, pins, lines and areas, and — for a plot you share — that plot's notes, planting records, photos, and soil test entries. From that point those items are theirs. They can edit or delete them, you won't see their changes, and they won't see yours.

If you change something later, you can send them an updated version, and accepting it replaces the items they received from you. Anything they created themselves is left alone.

Please understand what this means, because it is important: once someone has accepted a share, you cannot take that copy back. Turning off sharing stops them from receiving anything further, but it does not remove what they already have — only they can delete their own copy. Deleting your account does not delete copies other people have already accepted. So share a plot only with people you're content to hand those notes and photos to, permanently.

You can see everyone you have shared with, and stop future sharing, in the app at any time.

Our staff can see your account to help you

Whitetail Hill support staff can access customer accounts — your plots, maps, notes, planting records, photos, saved plans, and soil test entries — so that when you call, text, or email us about your ground, the person helping you can actually see it. We do this to answer your questions, not for any other purpose.

Two things we want to be straight about:

• Every time a staff member opens a customer's records, it is logged with who looked, at which account, and when.
• Staff cannot change or delete your information. The tool they use is read-only.

Our staff do not use your property information for anything other than helping you and running our business, we do not sell it, and we do not give it to advertisers. If you would rather we didn't look at your account, tell us at contact@whitetailhill.com and we'll note it on your account.

Who else touches your data

• Supabase (our database and sign-in provider) stores your account and app data on servers in the United States.
• Our email delivery provider sends sign-in codes and account emails to your address on our behalf.
• Shopify handles our stores and checkout under its own privacy policy.
• The National Weather Service receives the coordinates of points you request wind for (a government API; no account information is sent).
• Apple Maps provides map imagery, and turns addresses you search into coordinates, under Apple's privacy policy.
• Esri provides the satellite imagery in the internal tool our support staff use; it receives map tile requests, not your account information.
• Our crash-reporting provider receives the technical crash reports described above.
• We send coordinates or ZIP codes to services that translate them into growing zones for the tree guide.

We do not sell your information. We do not share it with advertisers. We share it only with the service providers above, as needed to run the app, or if the law requires it.

Your choices and rights

Delete everything. In the app: Tools → Account → Delete my account. This permanently removes your account, plots, maps, notes, planting records, photos, saved plans, soil results, and any shares you created. As noted above, it cannot remove copies that other people have already accepted.

Stop sharing. In the app: Account → Share my map, or the Share button on any plot or map object, shows everyone you've shared with and lets you cut off anything further.

Location, camera, photos, and sensors. You can decline or revoke these permissions in your device settings; map browsing and the guides still work without them, and photos are entirely optional.

Questions or requests. Email contact@whitetailhill.com or text (256) 415-4085 and a real person will handle it. If your state gives you specific privacy rights, the same contact handles those requests too.

Children

The app is not directed at children under 13, and we do not knowingly collect information from them.

Changes

If we change this policy, we'll update this page and the effective date. Big changes get called out in the app.
